A useful evaluation involves more than software screens. Data, user roles and acceptance criteria should be part of the same roadmap.

01 — Scope and data readiness

Define business goals and planning questions. Agree who owns sample data, how it can be shared securely and which people can participate. You do not need to send real customer or production data in the first email.

02 — Pilot and acceptance scenarios

Agree what the pilot is intended to demonstrate. Discuss sample planning scenarios, evaluation criteria and exclusions to keep the work focused.

03 — User readiness and deployment

Define training around everyday workflows for planners and process owners. Deployment activities, responsibilities and subsequent support scope are clarified in the proposal.
